Job Summary;
The Finance & Administration Officer (FAO) will be responsible for the performance of a variety of duties categorized by either financial or administrative support including front desk customer service, posting the daily receipts, preparing deposits, coding, totaling, batching, entering, verifying and reconciling transactions such as accounts payable and receivable, payroll, purchase orders, cheques, invoices, cheque requisitions, and bank statements. Administrative responsibilities include file management, correspondence drafting, funding program support, and ensuring supplies to the office are managed and maintained. Administrative duties also include developing and maintaining administrative systems and performing clerical duties, such as word processing, meeting minute taking, scanning and photocopying.
Duties Finance & and Admin Officer (FOA);
• Monitor the day-to-day financial operations within AWAC, such as payroll, invoicing, and other transactions
• Oversee financial department employees, including accountants’ assistant and admin officer
• Contract outside services for tax preparation, auditing, banking, investments, and other financial
needs as necessary
• Track the AWAC’s financial status and performance to identify areas for potential improvement
• Seek out methods for minimizing financial risk to the organization.
• Research and analyses financial reports and market trends
• Provide insightful information and expectations to senior executives to aid in long-term and short-
term decision making
• Review financial data and prepare monthly and annual reports
• Present financial reports to board members, stakeholders, executives, and AWAC members in formal
meetings
• Stay up to date with technological advances and accounting software to be used for financial purposes
• Establish and maintain financial policies and procedures for the company
• Understand and adhere to financial regulations and legislation.
• Checks other people’s work to make sure that their final figures are correct, noting errors and the
causes of any miscalculations.
• Utilizes computer systems to run databases, pay bills and order supplies. Provides customer service,
accepting payments or providing refunds.
• Calculates, prepares and issues documents related to accounts such as bills, invoices, inventory
reports, account statements and other financial statements
• Code, total, batch, enter, verify and reconcile transactions such as accounts payable and receivable,
payroll, purchase orders, cheques, invoices, cheque requisitions, and bank statements
• Compiles budget data and documents based on estimated revenues and expenses and previous
budgets
• Prepares period or cost statements or reports for Accounts Ass or Executive Director
• Calculates costs of materials, overhead and other expenses based on estimates, quotations, and price
lists
• Supports budget management with Director of Programs and Executive Director
• Performs other duties as required.

Finance Officer Skills and Qualifications:
Advanced degree in accounting, business, economics, finance, or a related field; Degree in Business Administration is also an added advantage; 5 years of experience in managing USAID, Global fund, DFID & EU funded projects; leadership skills and experience; employee management; understanding of data privacy standards; solid communication skills, both written and verbal; public speaking skills; deep understanding of business principles and practices; high level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts; able to work well under pressure and meet set deadlines; time management and prioritizing skills; ability to interpret and implement organization policies and procedures; attention to detail in all areas of work; high level of personal integrity; strong work ethic; self-starter; confident, consistent, decisive personality; superior attention to detail; organizational, planning, research & analytical skills; ability to adapt to and learn new software; critical thinking, problem-solving & computer skills, multi-tasking abilities; integrity, honesty and having CPA or ACCA is an added advantage.

WORKING CONDITION
• FAOs usually work in an office environment, but the mission of the organization may sometimes take them to nonstandard workplaces.
• He /She should be available full time during working hours.
• FAOs work a standard work week, but additionally will often work evening, weekends, and overtime
hours to accommodate activities such as Board meetings and representing the organization at public events.
